Advancing Reporting to Meet Client and Firm Expectations: How can Visualfiles help?

We consider how the likes of Lexis Visualfiles, and its tools, can help legal providers report back to clients with the detail they need to improve client experience and make a positive impact on the business’s bottom line.

Reporting capabilities offered by Lexis Visualfiles

The Visualfiles case management system offers advanced reporting using Pro2SQL that allows business intelligence tools such as SSRS and Power BI to visualise your data. Pro2SQL replicates the live Visualfiles database for reporting purposes, without hindering the performance; reducing the time to generate a customised report to a few seconds. If the data exists within Visualfiles, you can easily interrogate it and report on it – it’s that simple!

Using SSRS or Power BI, the extracted data can be presented in user-friendly dashboards. Your organisation can create internal or client-facing reports, removing the need to manipulate data in Excel, which can be time-consuming, laborious, error-prone, and out of date as soon as it’s extracted.

Let’s look at a real-life example, one as Client Advisors we know all too well -

If an organisation is generating three reports for 50 different clients each week, with each report taking 10 minutes to generate, it amounts to 25 hours spent exporting data into Excel spreadsheets and generating reports!

From bar charts and pie charts to simple tables, data can be presented in a variety of formats, with the ability to interact with the report, or manipulate and drill down into the data, with these reports being as complex or simplistic as preferred – enhancing project transparency and visibility. For instance, this could allow the Senior Leadership Team to review the progression of cases for the entire firm, for a specific department, or a specific work type, all at the click of a button, even in the early hours of the morning.

From a profitability perspective, these reports help to provide the insights needed to make informed business decisions and identify areas of improvement, such as giving clarity when working out the conversion rate of quotes given versus live matters instructed.

Or, as a more detailed example, if you are looking to increase the conveyancing caseload, using reports, you are able to view geographical areas quoted, versus geographical areas instructed; see Figure 1 and 2 below.

This gives you an insight into where your work is originating from and where perhaps, you need to focus more attention, enabling you to refine your marketing strategies.

Risk and Compliance

Reporting capabilities don’t just stop here, you can report on the majority of data in Visualfiles in near real-time; see figure 3. Whether you’re monitoring the risk levels of cases, or checking the capacity of fee earners, reporting helps to keep your wider team and fee earners up to date by supporting a transparent and informed way of working.
